9.30am Team of 4+ (including student volunteers) arrives to set up.

  • Key collected from CVA lock box. 

  • Shutter open, lights on, and security radio check in done.

  • Photograph any venue problems.

  • Urn on

  • Tables, chairs and whiteboards set out

  • Refreshments box into main room, and opened code: 0316

  • Refreshment table set up and cafe tables.

  • Children’s room set up (if happening)

  • Reception Table and team lanyards set out.

  • Information table laid out.

  • Toilets checked and restocked as required

  • Class materials ready at each table.



9.55am Rest of team arrive to get ready and welcome students

  • Lanyards collected and put on

  • Teachers double check class materials

  • Team welcomes students and offer refreshments as they arrive

  • New students welcomed and registered at reception.

  • Children welcomed and settled into creche room from 10.15.

  • Upbeat background music playing.

  • Students arriving



10.30am Classes Start

  • 8 groups - absolute beginners, absolute beginners plus, beginners, beginners plus, literacy, pre-intermediate, intermediate, upper intermediate.

  • Children’s group functioning well for 1-4s.  At least 2 leaders and correct adult to child ratios.

  • Front of house dealing with all new enquiries and working through VES admin tasks.



11.10 Optional Break

  • Some classes take a refreshments break for 3-5 minutes as appropriate.

  • Front door closed i.e. from now late students encouraged to come back next time.  New students registered.

  • Front of house manager does class registers.

  • After break front of house sets refreshments table ready for post class social time



12.00 Social Time / Signposting Time 

  • Classes finish with students being invited to take another next step “please stay for refreshments, if you’d like to keep practising your English we have a Bible study starting, and we’ll see you at our next class on Monday / Thursday.”

  • No team tidying up!! Chance to engage students, “would you like some refreshments?” “would you like to stay for Bible study?” “what are you doing the rest of the day?”  “how are you finding the classes?”

  • Bible study table set and inviting / welcoming newcomers.

  • Front of house on hand at reception table (and preventing people from tidying up!!)

  • Team free to leave

  • Background music on.

12.10 Bible Study Group(s); Cafe; and outside agency tables

  • Bible study groups underway



12.15 Set down.

  • Tables folded and put into back room.

  • Chairs stacked and put to the side of the room.

  • White boards set down and put into back room.

  • Refreshments table washed up, emptied, dried, packed away, and padlocked.

  • Children’s groups equipment packed up, put away and padlocked.

  • Where students are keen to help with this - they should be encouraged and equipped to do so.



12.30-12.45 Close Up

  • Bible study finishes.

  • Last pack down done

  • Office door closed.

  • Security radio and lights off

  • Key returned to Centrale lock box.
